TRS Legal Costs Ltd is a firm of Costs Lawyers and Draftsmen providing specialist costing services to the legal industry. We are committed to maintaining high standards of confidentiality in relation to the data provided to us in the course of business activity. This Privacy Policy explains how we use any personal information that we collect and process from you about your clients.

What is our legal basis for holding and processing your personal data?

The GDPR Article 6 condition for holding and processing your data is Performance of Contract. The Article 9 justification in relation to “sensitive” data is that processing is necessary for the exercise of legal claims.

What information do we collect?

We record the minimal amount of information about your clients as is necessary in the act of processing your files and instructions and where we have a legal obligation to do so. We source the information from your files only, no other sources are consulted in this regard.

How will we use the information that we collect and process?

We collect the information about your clients in order to fulfil your instructions and therefore manage your account.
We will not disclose any of your information to any other companies except for the purposes outlined above, or if required to do so by law.

Rights to access and correct your information

You have the right to request a copy of the information that we hold. If you would like a copy of some, or all of your personal information, please email or write to us at the addresses at the end of this page.

You may ask us to remove your information or correct any information that you think is inaccurate. However please be aware that in some instances this may restrict our ability to meet our contractual obligations.

Safeguards

We take our responsibilities in relation to your data very seriously and take all reasonable care to safeguard your personal information through secure business processes. The measures taken include encryption of digital data, recently enhanced network security and threat management measures for all office-based and remote devices.

All staff are subject to a Data Protection Agreement.

Additionally, our offices are locked outside of working hours and are based in a secure and controlled building and compound which is also locked outside of working hours and has CCTV monitoring.

Data Retention

Data will be retained only for as long as is considered necessary in order to meet our processing, contractual and legal obligations.

We keep our policies under regular review and will keep an updated policy on our website. This policy was last updated in May 2018.
